Food Cost โ€” Logging & Invoices

โ†’

Log Entry tab

Go to Location โ†’ Food Costs โ†’ ๐Ÿ“‹ Log Entry. Enter your purchase category (Meat & Seafood, Produce, Dairy, etc.), vendor name, amount, and purchase date. Submit to save to your cost log.

โ†’

AI Invoice OCR (recommended)

Click the camera icon or "Scan Invoice" to upload a photo or PDF of any supplier invoice. CashCall's AI reads the document, extracts line items, totals, and category, and pre-fills the form. Review and confirm in under 60 seconds.

โ†’

Supported invoice formats

CashCall OCR is trained on Sysco, US Foods, Restaurant Depot, Gordon Food Service, PFG, Costco Business, and most regional distributor formats. It also handles handwritten delivery receipts with high accuracy.

โ†’

This Month tab

See a real-time breakdown of food spend by category for the current month. Color-coded cards show how you're tracking against your food cost % target.

โ†’

Trends tab

View 6 months of food cost % history as a chart. Identify seasonal patterns, price spikes, and month-over-month movement at a glance.

โ†’

Price Tracker tab

Compares this month's prices per unit against 1-month, 3-month, and 6-month averages for key commodities you've purchased. Red/orange badges flag items where you're paying significantly more than your own historical average.

โ†’

๐Ÿ” Market Intel tab

Compares your actual invoice prices against live market benchmarks from Sysco, US Foods, Restaurant Depot (benchmark), and Costco Business Center. Items highlighted in red mean you may be overpaying relative to market. Use this when negotiating with vendors.

Tips for Best Results

โœ“

Scan invoices same-day

The fastest operators scan invoices as delivery drivers hand them over. The 60-second habit prevents backlogs and keeps food cost data current.

โœ“

Check Market Intel before vendor calls

Before your weekly or monthly vendor call, pull up the Market Intel tab. It shows where your prices deviate from benchmarks and gives you data to negotiate from.

โœ“

Set realistic targets first

Food cost % varies by concept: QSR typically runs 28โ€“32%, full-service 30โ€“35%, fine dining 25โ€“30%. Set your targets to match your concept, not industry averages.

โœ“

Connect POS before payroll

Revenue data is the denominator in all cost percentage calculations. Connect your POS first so that food and labor cost percentages are accurate from day one.

โœ“

Use the Demo for training

When training new managers, send them to cashcall.io/sandbox โ€” it's a fully functional demo with real data that they can explore without affecting your live numbers.
